AI condition inspections for Building Stack

Turn the photos on your Building Stack maintenance requests, and the ones nobody files during a turn, into a dated condition record for every unit and lease.

What Building Stack records

Overview

A Building Stack maintenance request is a conversation about one problem, not a record of the unit. It carries the ticket, the assigned staff member, the internal chat, the vendor bill, the tenant's notice, and any picture somebody dropped into the thread. What it never becomes is a room-by-room account of how the apartment looked when a tenant took it and how it looked when they left. RapidEye reads the buildings, units and leases from Building Stack and the photos attached to those requests, and returns a finding per issue, filed against the unit, with the date and the photo behind it.

Every unit gets a baselineThe first walk of an apartment becomes the reference every later photo of it is measured against.
Ticket photos actually readThe picture a tenant attached to a request is checked against the rest of the unit, not just the leak that was reported.
Deductions with dated proofMove-in and move-out photos of the same spot, so a withheld deposit rests on evidence rather than memory.

How it works with Building Stack

Building Stack organises a portfolio by building, unit, parking and storage space, with leases running against them, so the checks follow the same objects your team already clicks through.

  • Tenant maintenance requests. Building Stack lets tenants report an issue from the portal and attach pictures into the conversation. RapidEye reads that picture for everything in the frame, not only the reported complaint: the tenant photographs a dripping tap and the finding also names the swollen vanity panel underneath it.
  • Work orders your staff close. A request gets auto-assigned by category and priority and eventually marked resolved. RapidEye compares the after photo to the before one, so a repair that was billed and a repair that was done are the same claim.
  • Unit access visits. Tenants can authorise entry in their absence, which is often the only time anyone sees inside an occupied apartment all year. Those few minutes become a full condition read instead of one snapshot of the reported fault.
  • Turns between leases. The unit is empty, nobody files a ticket, and the photos either exist somewhere on a phone or do not exist at all. A capture link walks the empty unit and RapidEye returns what changed since the last tenant took it.
  • Deposits and one-time charges. Building Stack holds a security deposit against the lease and can bill a tenant for a repair or a key replacement. RapidEye supplies the pair of dated photos and the written finding those charges lean on.
  • Parking, storage and common areas. The spaces your leases include and nobody walks. A garage stall, a storage locker, a laundry room: each gets the same baseline and the same finding format as an apartment.

A finding names the building and the unit, the room, where in the room, the kind of problem (damage, cleaning, a missing item, or maintenance), how serious it is, the photos on either side of it, and a suggested next step. It lands in the RapidEye dashboard, and in an inbox or a Slack channel for the building office if you want it there. What happens next in Building Stack, a new request, a one-time charge, a note against the lease, is your team's call. If your inputs are different from the ones above, video walkthroughs, a 3D scan, an inspection format your own team designed, that is something we set up with you rather than a limit of the product.

How to connect Building Stack to RapidEye

  1. Your portfolio in Building Stack. Buildings, units, parking and storage spaces with current leases against them. That list is what every finding gets filed under, so a finding names a building and a unit rather than an address someone typed.
  2. Somewhere for photos to come from. Building Stack carries them inside maintenance request conversations, and RapidEye reads those. For move-ins, move-outs and turns, RapidEye sends a capture link that opens on any phone with no app to install, so whoever walks the unit gets the same set of angles every time.
  3. Access for RapidEye. Tell us you run Building Stack and how many units. Building Stack does not publish a self-serve invite screen, so we set access up with your team. Your staff keep the same portal, the same tickets and the same routine.

What a Building Stack tenancy actually records

Checked against Building Stack's product documentation and help centre, September 2026.

Building Stack is a Canadian, web and mobile platform for the whole tenant lifecycle, and its own feature set is unusually complete on the money and the paperwork. According to Building Stack's product documentation (buildingstack.com), the platform covers lease management, digital provincial lease signature, listings and credit checks, online rent payments, the tenant portal, amenities and reservations, maintenance requests, and time and expense tracking against each work order. Walk a tenancy from start to finish and you can see exactly where condition is captured and where it is assumed.

  • Lease signature and move-inA pre-populated provincial lease is signed digitally, the unit is attached, and a security deposit can be requested inside the software. No inspection record is described here
  • The tenant reports somethingThrough the portal, using what Building Stack calls a streamlined ticket system. Pictures, receipts or any supporting document can be attached directly into the conversation.Photos exist, one issue at a time
  • The request is routedAuto-assigned to the right team member by category and priority, with SLA rules and deadlines for maintenance staff, and notification by email, SMS or voice message.Speed is tracked, condition is not
  • The work is done and billedHours and material expenses link straight to the maintenance ticket, so the exact cost of the task is known, with billable and non-billable time and an approved vendor list per building. The cost is precise, the proof is a photo nobody read
  • The request is resolvedBuilding Stack says resolved requests are never deleted, so old records stay available in case of a dispute, and tenants can be asked for feedback on the fix.The archive is there, the comparison is not
  • The tenancy endsA lease renewal takes a few clicks, and a deposit can be refunded or withheld at the end of the tenancy. One-time charges can be sent for repairs and key replacements. The deduction needs evidence the platform never asked for
  • The next tenant moves inA new lease against the same unit, with historical tenant data on file for past, current and upcoming leases. The unit starts again with no recorded condition

Does Building Stack have an inspection module?

Not one it documents. The features index lists lease management, digital lease and document signature, listings and leasing, maintenance requests, online payments, the tenant portal, amenities and reservations, time and expense tracking, plus reporting, employee management with customisable permissions, vendor management and document storage. None of them is a room-by-room inspection, and the public help centre covers tenant-side tasks: creating an account, paying online, updating contact details. Photographs of a unit therefore live where somebody happened to attach them, inside a ticket thread about a specific complaint, and they are read by whichever staff member handled that thread, on that day, for that one problem.

That is what the integration changes. The same photos, plus the ones taken on a turn, get read against everything else ever photographed in that unit, and what comes back is filed against the Building Stack unit and lease rather than buried in a conversation. Building Stack keeps doing what it is good at: the lease, the ticket, the vendor bill, and the deposit.

Building Stack integration FAQ

Does RapidEye integrate with Building Stack?

Yes. RapidEye reads your buildings, units and leases from Building Stack together with the photos attached to your maintenance requests, and returns a finding per issue with the unit, the room, the kind of problem, a severity and the photos behind it. Nothing in Building Stack changes: the work order, the lease, the deposit and the payment records stay exactly as your team left them.

Does Building Stack have a move-in or move-out inspection?

Building Stack's own feature pages describe leases, deposits, listings, payments, amenities, work orders and time and expense tracking. They do not describe a room-by-room inspection record for a move-in or a move-out. The photos of a unit that do exist sit inside maintenance request conversations, one issue at a time. RapidEye adds the condition layer on top of that unit list.

Where do the photos come from?

Two places. Building Stack lets tenants and staff attach pictures, receipts and supporting documents into the maintenance request conversation, and RapidEye reads those. For a turn, where nobody files a ticket, RapidEye sends a capture link that opens on any phone with no app to install, so whoever is standing in the empty unit walks it once.

Can RapidEye help with a security deposit deduction?

It gives you the evidence, not the legal decision. Building Stack lets you hold a deposit against the lease and withhold or refund it at the end of the tenancy, and it keeps resolved requests on file rather than deleting them. RapidEye supplies the dated pair behind a deduction: the unit as it looked when the tenant took it and the same spot at move-out, with the finding written out.

Will RapidEye write anything back into Building Stack?

No. Building Stack stays the system of record for the lease, the work order, the vendor bill and the tenant conversation. RapidEye reads and reports, and your manager decides whether a finding becomes a new maintenance request, a one-time charge or nothing at all.

We manage buildings in Quebec and Ontario. Does the language matter?

No. Building Stack is bilingual and tenants can use the portal in English or French regardless of your own setting. RapidEye reads photographs, so what a tenant typed in the request, and in which language, does not change what comes back.
